Privacy Policy

This policy replaces the version dated September 9, 2021.
All About Air Heating & Air Conditioning (“All About Air,” “we,” “us,” or “our”) is a residential and commercial HVAC contractor in Hayward, California, California Contractors State License Board license no. 902777. This Privacy Policy explains what personal information we collect through allaboutaironline.com and in the course of providing heating and air conditioning services, how we use it, who we share it with, and the rights you have over it.
We wrote this policy to describe what we actually do. If something in it does not match your experience with us, please tell us — the contact details are at the end.
1. Information we collect
Information you give us
When you fill out the contact form on our website, call us, text us, or email us, we collect:
- Your name, phone number, and email address.
- The service address where work is to be performed, and the type of service you are asking about.
- Whatever you choose to write in the message field or tell us on the phone — for example, the make and age of your system, or what is going wrong with it.
- Billing name and address, if different from the service address.
Information we create in the course of doing the work
Once you become a customer, we keep ordinary business records: estimates and invoices, the equipment installed at your property and its serial numbers, maintenance and repair history, warranty registrations, technician notes, and photographs of the work area and equipment taken for diagnostic, documentation, and warranty purposes.
If you call us, we may keep a note of the call. We do not record telephone calls. If that ever changes, we will tell you at the start of the call and ask for your consent, as California law requires.
Payment information
Card payments are processed digitally. . We do not store complete card numbers on our systems. If you finance a purchase, you apply directly with the lender — see Section 4.
Information collected automatically when you visit the website
Our web host records standard server log information for every visit: IP address, browser type and version, operating system, the pages you viewed, the time of the visit, and the page that referred you. This happens for all visitors and is necessary to serve the site and keep it secure.
Beyond those server logs, we use Google Analytics to understand how people find and move through the site. Google Analytics does not load until you accept non-essential cookies through the banner on our site. If you decline, or simply ignore the banner, it does not run. See Section 3.
Sensitive personal information
We do not seek out sensitive personal information as California defines it — we do not collect Social Security numbers, driver’s license or passport numbers, precise geolocation, racial or ethnic origin, religious beliefs, union membership, genetic or biometric data, health information, or the contents of your mail, email, or text messages. If you volunteer something like this to us, we use it only to respond to you.
Information we do not collect
To be explicit, because our previous policy was unclear on this: we do not collect biometric information such as fingerprints or voiceprints. We do not collect education records. We do not offer accounts or social-media logins on our website. We do not run an online store, a video player, or a chat widget. We do not run prize draws or contests.
2. How we use your information
We use personal information only for the purposes below.

We do not use your information to build advertising profiles, and we do not upload our customer list to advertising platforms. We will not use your information for a materially different purpose than those listed above without telling you first.
3. Cookies and website tracking
A cookie is a small file a website stores in your browser. Our site uses two categories.
Strictly necessary
These make the site work and cannot be switched off: the session cookie set by our website platform, the cookie that records your cookie choice so we do not ask again on every page, and the cookie set by Google reCAPTCHA, which stops automated spam submissions on our contact form.
Analytics — off unless you say yes
Google Analytics 4 helps us see how many people visit, which pages they read, and roughly where they are located. It is blocked by default. It does not load, set cookies, or send anything to Google until you click “Accept” on our cookie banner. If you decline or ignore the banner, no analytics data is collected.
We have configured Google Analytics with advertising personalization and Google Signals turned off, and we do not link analytics data to any advertising audience. Google acts as our service provider for this purpose and is contractually restricted from using the data for its own purposes.
Changing your mind
You can change your cookie choices at any time by clicking “Preferences” in the cookie banner, or the cookie preferences link in our website footer. You can also delete cookies through your browser settings. Blocking strictly necessary cookies may stop parts of the site from working.
Opt-out preference signals and Global Privacy Control
We recognize and honor the Global Privacy Control (GPC) signal. If your browser or a browser extension sends a GPC signal, we treat it as a valid request to opt out of the sale or sharing of your personal information, and we apply it to the browser and device it comes from without requiring you to do anything else. Where we can detect the signal, we will indicate on the site that it has been recognized.
Because a GPC signal is tied to a browser rather than to a person, it cannot be linked to you across devices unless you also submit a request to us directly using the contact details in Section 10.
Accessibility tooling
We make an accessibility widget available on our site to support screen readers, keyboard navigation, contrast adjustment, and similar needs. It loads for all visitors and is treated as strictly necessary, so it works whether or not you accept cookies. See our Accessibility Statement for more.
4. Who we share information with, and who we do not
We disclose personal information only to the following categories of recipients, and only as needed:

Links to other companies
Our Financing page links out to Synchrony Bank, and our site links to our Facebook page and to our license record on the CSLB website. These are ordinary links. If you click through and apply for financing, you are dealing with Synchrony directly under their privacy policy — we do not receive or store your credit application or the information in it. We are not responsible for the privacy practices of sites we link to.
5. How long we keep information
We keep personal information only as long as we have a reason to, then delete it or render it unrecoverable. Our general schedule:

Where a legal hold, open dispute, insurance claim, or warranty obligation requires it, we keep the relevant records until the matter is closed.
6. Your California privacy rights
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act, gives you the following rights. We honor them for all our customers regardless of where they live.

How to make a request
- Email privacy@allaboutaironline.com with “Privacy Request” in the subject line, or call 510-538-2247, or write to us at the address in Section 10.
- We will acknowledge your request within 10 business days and respond substantively within 45 calendar days. If we need more time we will tell you why, and we may take up to 45 additional days.
- To protect you, we have to verify who you are before we hand over or delete anything. We will match the information in your request against what we already hold — typically the name, phone number, email, and service address associated with your account. For a request to know specific pieces of information, we apply a higher standard. We use whatever you send us for verification only, and we delete it afterward.
- An authorized agent may act for you if they provide your signed permission, and we may still contact you to confirm.
- There is no charge, and you may make a request twice in any 12-month period.
Shine the Light
California Civil Code section 1798.83 lets California residents ask about personal information disclosed to third parties for those third parties’ own direct marketing. We do not disclose personal information for that purpose, so there is nothing to report — but you are welcome to ask.
Minors
Our website and services are directed to adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, contact us and we will delete it.
7. Marketing communications
If we send you maintenance reminders, seasonal offers, or newsletters, every message includes an unsubscribe link, and you can also just reply and ask us to stop. If you gave us your number and consented, we may text you about scheduling; reply STOP to end texts. Unsubscribing from marketing does not stop transactional messages — appointment confirmations, technician arrival notices, invoices, and warranty notices — because those are part of the service you asked for.
8. How we protect information
We use reasonable administrative and technical safeguards appropriate to a business of our size: our website is served over HTTPS with a valid certificate, access to customer records is limited to staff who need it, and accounts are individually credentialed. We ask our vendors to maintain comparable protections.
No system is perfectly secure, and we will not claim otherwise. If a breach affecting your personal information occurs, we will notify you as California law requires.
9. Changes to this policy
If we change this policy we will update the “Last updated” date above and post the revised version here. If the change is material — for example, if we began sharing information for advertising — we will give clear notice before it takes effect, and we will not apply it retroactively to information already collected without your consent.
